Borrowing for On Campus Students

Borrower Responsibilities
Your library card is the Avondale ID card with your photo. Please present this card to borrow any items.
You may borrow up to 15 items for 14 days.
Please do not loan your card to anyone else as you are responsible for all items borrowed on your card - by yourself or by another person using your card. To prevent unauthorised use, report lost cards to the Loans Desk staff.

Responsibilities Regarding Borrowed Items

To renew a loan
Loans will now be automatically renewed when approaching the due date. Two days before an item is due, you will receive an email notifying you that your items have been renewed. This will allow you to borrow your items for an additional 14 days. This process will happen twice before items meet their renewal limit.

The automatic renewal process allows you to have items for a total of 42 days (6 weeks). If another patron places a hold on a book currently out on loan, the loan period will be cut short and the item will have to be returned within 7 days.

You can renew items yourself via Primo Search (see instructions below under Managing your Library records online), by telephone during library hours (02 4980 2257) or in person at the Loans Desk or self-loan kiosk. Items may be renewed once. Items that are on hold for another borrower cannot be renewed and must be returned immediately they are due.

Overdue items
Overdue items must be returned.

Extended Loans
If you are going on a professional experience program or require items over the mid-semester break you can arrange for an extended loan period. Ask at the Loans Desk prior to your departure.

Request An Item
If you need to borrow an item that is already on loan you may put a hold on the item by requesting it. This may be done via Primo Search (see instructions below under Managing your Library records online). You will be notified when the item is returned. If you need help with this please ask at the Loans Desk or view the Request an Item on Primo.

Returns
All borrowed items, including Reserve items, should be returned to the Returns Box in the library or through the after-hours chute. The after hours chute is located at the entrance to the White Building before you enter the library.

Save Money!!
No one wants library fines. To reduce the possibility of incurring a library fine, please read the following information carefully.

A courtesy notice is sent to your college email account two days before the item is due back in the library. However, it is ultimately your responsibility to return your books on time. Keep your DATE DUE slip in a safe place or put a reminder on your mobile phone!

Another notice will be emailed to you on the third day an item is overdue. Check your college email account for these notices. Overdue books incur a fine of $1 per day per item.

If you have $10.00 or more in fines you will not be able to borrow until it has been paid. Remember, you will have received a Date Due receipt with the item borrowed. If you need an item longer, LOG IN to renew it before it becomes overdue.

To pay fine by credit card, Online Payments - Library. If immediate access is needed, you will then need to inform the library staff of payments and show receipt, otherwise the payment will be taken off your account within 5 working days.

Overnight/weekend loans of RESERVE ITEMS incur a $1.00 fine per hour or part thereof if they are late.
Items on Reserve may be borrowed for:

• As long as you like in the Reserve Room
• Overnight - from 4pm to be returned by 9am the next morning
• Weekend - from midday Friday to be returned by 2pm Sunday

Waiving of fines
Library staff are not permitted to waive fines. If you believe a fine is incorrect or unfair you can appeal for the fine to be reduced or waived. Failure to receive or read library emails or failure to check My Library Record on Primo Search are not valid reasons for an appeal. "I forgot" is also not a valid excuse! If illness is a factor you will need to produce a doctor's certificate.

If you feel you have a valid case for requesting that your fines are reduced or waived, please fill in this form.

Managing your Library records online

Online Transactions
Login to Primo Search to view your library record, to renew your books and to place a hold on a book.
Your personal library record can be accessed online in the following way:

• Go to Primo Search
• Click Sign In (Top right of the page)
• For Avondale Students/Staff Click Login for Avondale Students and Staff
• Sign in with your network username and password. Then Click Sign In
• Click My Library to view your account details

To View what you have on loan
• Click on My Library in the upper menu bar.
• Click on My Account
• Click on Loans to view a list of items you have on loan.

To renew your loans
• Click on Renew or Renew All

To view your loan history
• Click on Loans History to view a record of the items you have borrowed previously.

To request an item which is currently on loan
• Search and find the item in Primo Search
• Click on Availability.
• Sign In as outlined above
• Click on Hold and fill in the details
• Click Request

Signing Out
• Always click Sign Out after accessing your details to maintain your privacy.

Borrowing for Distance Students

Borrowing Limits
Distance students may borrow up to 25 items for 28 days. Please note that the loan period will be calculated from the time we issue the material to you, not from the time you receive the material.

When making a request, please allow at least five days for processing. Unfortunately, we will be unable to fill any last-minute requests. When filling in request forms please be sure to mark the not needed after box so we have an idea of how long to search for the information you require.
Please prioritise items on your request list and request more than you actually require in case some are not available.

Requesting books and articles from Avondale Libraries
Please use the Distance Learning Loan Requests to borrow books or the Digitisation Request for book chapters or articles to be digitised and sent via email. If you have any queries, please contact the library.

The library will pay the outward postage for any book requests; the cost of the return postage is the responsibility of the student. To minimise damage, please return all loaned material in padded bags by the due date.

Before you request an article, please check if it is available through the databases. Check the name of the journal through Journal Titles A-Z to find out which database publishes articles from the journal.

Journal articles not held in the databases will be emailed to you.

Requesting articles from other libraries
To request articles not available from the Avondale Libraries please use the Interlibrary Loan request form.
Please note this service is only available for postgrad students & faculty members.

Renewal of Loans
Loans may be renewed once as long as the material is not overdue and as long as it has not been requested by someone else.
Renewal requests can be made by:-
• phoning during library hours before the due date (02) 4980 2257
• emailing the library before the due date
• renewing items yourself using My Library Record in PrimoSearch before the due date. See instructions below.

Using My Library Record

Go to PrimoSearch
• Click Sign In (Top right of the page)
• The user ID is 'av' plus the student number on your ID card (eg av074621).
• Your PIN is the day and month of your birthday (eg 2 May = 0205).
• Click My Library Record
• Always click Sign Out after accessing your details to maintain your privacy.

To View what you have on loan
• Click on My Library Record in the upper menu bar.
• Click on Loans to view a list of items you have on loan. Make sure you have the orange My Account button clicked.
• You can also view any Holds you may have placed, or view your Fines and Fees if items are overdue.

To renew your loans. (Overdue items cannot be renewed.)
Click on Renew or Renew All on the far right of the screen.

To view your loan history
Click on Loans History (Blue button above your book records) to view a record of the items you have borrowed previously.

To request an item which is currently on loan
• Search and find the item in PrimoSearch.
• Click on Availability.
• Sign In as outlined above (If you have already signed in to access other details, this step is not necessary.)
• Click on Hold and fill in the details
• Click Request. You will receive an email when the item is returned.

Overdue Loans
Overdue items will accrue fines. Because postal delays may occur, the date the item is posted will be used to determine whether an item is overdue.

Please note: No further requests will be filled while any items are overdue or any fines unpaid.
As payment for fines the library will accept:
• personal cheques or money orders made out to Avondale University
• credit card payment.

To pay by credit card, please return a completed Library Remittance Form. To pay by credit card, Online Payments - Library

Holds
To request an item which is currently on loan
• Search and find the item in PrimoSearch
• Click on Availability.
• Sign In as outlined above (If you have already signed in to access other details, this step is not necessary)
• Click on Hold and fill in the details
• Click Request

You will receive an email letting you know when the item has been returned.


Recalls
It may be necessary on occasions for the library to request that you return a book before it would normally be due back. Fines will apply if the book is not returned as requested.

Borrowing from other libraries
It may be of benefit to your study to utilise other educational institutions within your area. A letter indicating your membership of Avondale Library may be provided on request to support a membership application.

Reciprocal Borrowing

Inter-Library Loan requests

For items not available from the Lake Macquarie Campus Library:

• Students undertaking 300 level subjects or above may request items for Inter-Library loan using this form.
• Students undertaking 100 and 200 level subjects may request items for Inter-Library loan only through their respective lecturers
• Students using the online form are requested to add their student ID number to the First Name field and to change the charge field to Faculty.

Reciprocal Borrowing Agreements with other Higher Education Providers

University of Newcastle
By agreement reciprocal borrowing privileges have been arranged with the University of Newcastle.
To register with the University of Newcastle a printout of your current record with the College Library and an annual fee of $22 are required. Registration is to the end of December. Printouts can be obtained from the Library circulation desk.
Both registration and borrowing can be done at either the Callaghan (Newcastle) Campus or the Central Coast Campus.


The following borrowing conditions apply to Avondale student borrowers:
• To be able to register you need to be in good and regular standing with Avondale University Library and have no large fines etc.
• 15 books plus 15 items from Huxley AV area for 2 weeks with one renewal only.
• Avondale students will not be able to borrow from: Biomedical Reserve, Law Reserve, University theses, Auchmuty AV materials, Huxley 3 Day and Short Loan videos/off air recordings, Huxley art slides and toys, Inter Library Loan services, Gardiner Library, Renwick College.
• Avondale students will not be able to use: Reference and Journal Article Databases, Student computers in training laboratories or the Internet.
• Avondale students will also be expected to pay fines for overdue and lost books. Under the terms of the agreement Newcastle will notify us of any borrowers who have outstanding fines or overdue items and they will expect us to suspend borrowing privileges at Avondale.

Responsibilities of Reciprocal Borrower

• The reciprocal borrower must be a registered borrower of the home library.
• The reciprocal borrower must agree to honour the regulations of the host institution/s, return publications by the due date or upon request of the host library pay any charges for late returns, lost or damaged items, and notify the home and host institutions at which she/he is enrolled as a borrower of any change of address.
• Failure to honour these responsibilities may result in the borrower being suspended from borrowing from both the home and host libraries.
• Borrowers must agree to reimburse the home institution for any debts discharged by the home institution on the borrower's behalf.

Staff Borrowing

Using the Library

Your library card is the Avondale Staff ID card with your photo. Please present this card each time you wish to borrow items.
Your card can be used to view your library record, to renew your books and to place a hold on a book. Instructions on how to do this are provided below.
Overdue items must be returned for renewal. Items on hold for another borrower cannot be renewed and must be returned immediately they are due.
You are responsible for all items borrowed on your card by yourself or another person using your card. Please do not loan your card to anyone else.
To prevent unauthorised use, report lost cards to the Loans Desk staff.
When you wish students to use books you have borrowed from the library, please return the books so that the students may borrow from the library rather than from you.

Staff Undertaking Studies

If you are a staff member studying at Avondale University or any other academic institution, you will be classified as a student. This is only fair to students who will also need the resources you are borrowing.

Your Staff card allows you to borrow up to 15 items for 14 days with one renewal.
Fines apply. To reduce the possibility of incurring a library fine, please renew your items or return them on time. If you have $5.00 or more in fines you will not be able to borrow until it has been paid.
Keep your DATE DUE slip in a safe place or put a reminder in your webmail calendar or on your mobile phone! A courtesy notice is sent to your University email account two days before the item is due back in the library (reply to this email and request a renewal – staff will notify you of the new due date).

Another notice will be emailed to you once an item is overdue. However it is ultimately your responsibility to return your books on time. Overdue books incur a fine of $1 per day per item.

Lecturers

Academic staff may borrow up to 50 items at a time for 12 weeks and have two renewals. Please do not use library books as desk copies.
Current journals are not available for loan but previous issues are available for restricted loans to academic staff.

Sessional Lecturers

Sessional staff may borrow up to 25 items at a time for 4 weeks and have one renewal. Library books should not be used as desk copies. Please talk to your Dean of Faculty about obtaining desk copies.
Journals are not available for loan.

Non Academic Staff

Non-academic staff may borrow up to 25 items for 4 weeks and have one renewal.
Journals are not available for loan.

Managing your Library records online
